Front Desk Administrative Specialist

Front Desk & Case Manager position has a key role in supporting the Community Counseling Center’s clinical counseling programs and is responsible for interfacing and connecting with clients and applicants. As lead in the front office reception team, the team member in this role is often the first impression of the Community Counseling Center for applicants, clients, counselors, and volunteers. Duties also include case management services to assist individuals and families in navigating entry into clinical programs, particularly in the Perinatal Mood and Anxiety Disorders (PMAD) program but also involving Sliding Scale, CenCal, and K-12 Student Mental Wellness programs. This team member may also staffs Mental health outreach events for a variety of community events per year. This position reports to the Executive Director. The role requires a combination of compassion, human relations, high-level professionalism, and office/clinic management skills.

Full-time (40 hours per week), in person

Monday - Friday: 9am - 6pm with some flexibility

Salary Range: $25.00-30.00 per hour

Responsibilities include:

  • Lead on Front Desk duties
  • Lead on PMAD (Perinatal Mood & Anxiety Disorder) Program
  • Assist in case management for:
    • CenCal Program
    • Sliding Scale Program
    • K-12 Student Mental Wellness Program
  • Conduct brief screenings of applicants seeking services, by phone or in person
  • Assist in outreach and engagement activities as assigned
  • Clerical work including correspondence, copying, mail processing, filing, financial report preparation
  • Maintain accurate and timely spreadsheets
  • Receive requests and prepare the release of mental health records (in collaboration with the Clinical Director and compliance consultant)
  • Receive and process mail
  • Utilize the agency’s Electronic Health Records System (SimplePractice)
  • Ensure the privacy and security of all applicant and client protected health information in accordance with HIPAA standards (training available)
  • Office management: manage office supplies, ensure office security, maintain orderly functioning of the facility
  • Orient and train incoming clinicians on job responsibilities and program workflow
  • Assist clinicians in daily activities, including preparing non-clinical documentation and case management duties
  • Process new clients and case assignments
  • Audit client files for completed documentation
  • Preparation of weekly deposit and sliding scale reconciliation
  • Supporting and assisting staff as necessary
  • Clinical statistic gathering for Executive Director to report on monthly basis to the Board of Directors
  • Supporting the Executive Director in the efficient execution of their work
  • Oversees medical records management

Skills (can train):

  • Listening empathetically and critically in order to provide appropriate services and/or referrals
  • Prioritizing tasks based on mission & values
  • Familiarity with local social and mental health service organizations to make referrals
  • Consistent, committed reliability to agreed upon office coverage scheduling
  • Office organization and filing systems
  • Google suite, Word, Excel, Outlook/Email Program
  • Basic accounting procedures and following strict protocol involving the flow of money
  • Producing professional document, reports, and email communications
  • Learning processes and procedures for electronic health records system entries and management
  • Prioritizing and completing tasks with a minimum of supervision
  • Skillfully organizing information and designing communication processes

Desired:

  • Experience working effectively in a front office
  • Associate’s degree or close to completion of Bachelor’s degree in social sciences, business, marketing, or in a related field
  • Experience in non-profit, social service, or public health/benefit programs with responsibility for project implementation and management
  • Graduation requirements can be replaced with up to four years of similar experience

Employee Requirements:

  • Valid CA Driver’s license and proof of insurance
  • Clean criminal background check/live scan (upon offer of employment)
  • Lift 5-10 lbs. from floor to overhead
  • Must be legally able to work in the United States
